In this comprehensive glossary, weโ€™ve curated a list of common terms and phrases you may encounter while using Gatego. Each term is defined in a straightforward manner, aimed at providing a clearer perspective on the ecosystem.

Yard

A yard, also known as a truck yard or a trailer yard, is a designated area where trailers are stored, organized, and managed before or after being loaded or unloaded.

Check In

The process where a trailer's arrival at the yard is logged into the Yard Management System. This includes recording the trailer number, the driver details, the time of arrival, and other relevant information. It helps in tracking the inventory inside the yard and scheduling the trailers for loading or unloading.

Check Out

The process where a trailer's departure from the yard is logged into the YMS. This usually includes recording the time of departure and updating the status of the trailer in the system. Every check out needs a previous check in to ensure that the trailer's movement is accounted for and to maintain an accurate record of the trailers still in the yard.

Truck

A truck is a motor vehicle designed to transport cargo.

Trailer

A trailer is an unpowered vehicle typically pulled by a powered vehicle. Trailers are used to transport goods and materials.

Carrier (Trailer)

A truck carrier refers to a company or individual that provides transportation services for goods using trucks.

A trailer carrier refers to a company that provides trailers for transporting goods, but unlike truck carriers, they might not provide the actual truck or driver to move the trailer.

Authorized Carrier

A setting in Gatego that authorizes a carrier (both truck & trailer) to access a specific yard or multiple yards via a Check In.

Unauthorized Carrier

A setting in Gatego that allows a carrier (Truck only) to access a specific yard via Check In.

SCAC (Standard Carrier Alpha Code)

The Standard Carrier Alpha Code (SCAC) is a unique two to four-letter code used to identify transportation companies. It is assigned by the National Motor Freight Traffic Association, Inc., to facilitate the standardized identification of carriers within the industry. SCAC is utilized in documentation and communications covering a variety of transportation-related operations such as customs, tariffs, and freight billing. It is an optional field when adding a carrier on Gatego.

United States Department Of Transportation (USDOT) number

The USDOT Number serves as a unique identifier for commercial vehicle operators in the United States. It is issued by the United States Department of Transportation and is required for all companies involved in interstate or intrastate commerce that operate vehicles with a gross vehicle weight rating (GVWR) of 10,001 pounds or more, or transport hazardous materials in a quantity requiring placarding.

RFC (Registro Federal de Contribuyentes)

The RFC, which stands for Registro Federal de Contribuyentes, is a unique identification number assigned by the Mexican tax authorities to businesses and individuals to track their tax obligations. It's akin to the Tax Identification Number (TIN) in the United States.

Gatekeeper

A type of user in Gatego that can add and edit movements at the gate.

Carrier User

A type of user in Gatego that can view movements and yard inventory relevant to his carrier company. Can view movements and yard inventory of other carriers if authorized. This user is not allowed to add or edit movements.

Yard Admin

A type of user in Gatego that has access to all settings, including adding and editing movements, adding and removing users, carriers, yards, drivers, trucks and trailers.

Invite User

Sends invitation to an existing email to join your organization on Gatego. If inviting a user just select their role and enter their email. After the user accepts they will set up their own login credentials.

Add User

Set up login credentials for a user in your organization. If adding a user just select their role, assign their email and password and then share the credentials to allow access.

Pre-check in

The process where a trailer's arrival at the yard is logged into Gatego before arrival. This includes recording the trailer number, the driver details, the estimated time of arrival, and other relevant information. It helps in tracking the inventory incoming to the yard, uses Gatepass feature to reduce gatekeeper input and scheduling the trailers for loading or unloading.

Pre-check out

The process where a trailer's departure from the yard is logged into Gatego before departure. This includes recording the estimated time of departure and updating the status of the trailer in the system. Every Pre-check out needs a previous check in to ensure that the trailer's movement is accounted for and to maintain an accurate record of the trailers still in the yard. Uses Gatepass feature to reduce gatekeeper input

Gatepass

Feature that generates a 6 digit code that can be sent to a driver before Check In or Check Out. By inputing this code in the system the movement information is preloaded.

Customs Trade Partnership Against Terrorism
(CTPAT)

CTPAT is a voluntary supply chain security program led by U.S. Customs and Border Protection (CBP) aimed at improving the security of private companies' supply chains with respect to terrorism. It provides a framework for companies to ensure the integrity of their security practices and communicate their security guidelines to their business partners within the supply chain.

CTPAT 17-point truck and trailer Inspection

Prior to loading/stuffing/packing, all trailers and truck must undergo CTPAT approved security and agricultural inspections to ensure their structures has not been modified to conceal contraband.

Autofill

Feature that automatically populates input fields with previously entered information such as truck and trailer numbers, carriers, drivers, names, licenses, etc. This relies on a stored database of previously entered information to aid in quicker form completions and reducing the repetitive task of entering the same information multiple times.

Smart Check Out

Smart Check Out is a feature that utilizes the data gathered from all check-in activities to provide a comprehensive overview of the current inventory or assets present in the yard during the check-out process. After selecting the asset at check out the data will autofill.
