Checking out is one of the fundamental actions performed within the platform. If you're new to the system or need a refresher, this guide will walk you through the process step-by-step.

Step 1

  • Navigate to app.gatego.io

  • Enter your login credentials

  • Click "Sign In"

Step 2

  • Begin from the 'Overview' screen, which is the central dashboard for accessing various features of Gatego.

  • Click on the 'Add a movement' option to initiate the check-out process.

  • From the options, select 'Check out'.

  • Choose the specific yard from which the check-out is taking place.

Step 3: Truck Card

  • You'll be presented with two options:

    • Select Truck: Use this if the check out is for a truck that has been previously registered or checked in.

    • Guest Check Out: Opt for this if the check out is for a guest vehicle.

  • Optionally, you can add a photo of the truck for visual documentation.

  • Use the 'Search' function to find and select the truck in the yard. Gatego uses smart checkout to automatically pair check-in data, including driver and carrier information.

    • If a truck is not previously checked in but needs to be checked out, choose the option "Truck not in yard? Check out anyway."

Step 4: Trailer Card

  • You'll be presented with two options:

    • Trailer: Use this option if the truck checking out has a trailer attached.

    • No Trailer: Use this option if the truck has no trailer. Selecting this will immediately enable the 'Check Out' button (See step 6).

  • Optionally, you can add photos of the left and right sides of the trailer.

  • Search and select the trailer in the yard. Gatego's smart checkout will pair check-in trailer carrier, type, status (Loaded or Empty) and seal number data automatically. Make sure to update the information accordingly.

  • Optionally you may provide 'Load Number, Client and Destination' for documentation purposes.

Step 5: Extra Card

  • All steps are completely optional

  • Choose the check-out time. By default, Gatego uses the current time, but you can adjust this if the check-out occurred in the past.

    • Attachments: By clicking on this feature you have the option to attach additional files or images that are relevant to the check-out process.

    • Tires: By clicking on this feature you have the option to register a tire inspection on the truck checking out. This is a detailed process which is covered in a separate help article.

    • Issues: If there are any issues or concerns related to the current state of the truck or trailer you can report them here. This too has its own detailed guide in another article which you can refer to.

  • Add a comment regarding the check out.

Step 6

  • Click 'Check out'

  • Navigate to the 'movements' screen to find the check out movement.

  • Click on the movement to see all the information.

  • Click More to Share, edit or remove the movement.

The check-out flow in Gatego is designed to be intuitive and comprehensive, ensuring that every aspect of a truck's exit from the yard is documented and managed efficiently. By following the above steps carefully, you can ensure smooth operations and accurate records.
